Sharing Your Products

In short

The Share Products wizard lets you send product information to a trading partner in four steps. Choose your sharing method, select the products, confirm field mappings, then name and run the share. The wizard saves a reusable Flow when it completes.

Before you start

The wizard offers two sharing methods — choose the one that fits your situation before you begin:

  • Share with a connected company — sends product data directly to a company you are already connected to in the Hive. They receive an in-app notification and run their own Flow to accept the products. This method requires that your Product Template has been mapped to the receiving company's template. If you haven't set up template mappings yet, see the article on configuring template mappings before proceeding.
  • Share via email with a download link — packages your products into an Excel file and emails a secure download link to the recipients. No Hive account is required on the receiving end. This is the right choice for trading partners who are not yet on the Hive.
  • At the end of the wizard after it has run it creates and saves a Flow for you. You DO NOT need to run the import wizard every time. It is a quick start method to creating a Flow.

Sharing products

  1. From the left-hand menu, click Products to expand the section.
  2. Click My Products.
  3. Click Share on the top menu bar. The Share Products wizard opens at step one — How to Share.
  4. Read the summary of the four wizard steps shown on screen, then select your sharing method:
    • Select Share with companies I have already connected to in the Hive to send directly to a connected trading partner.
    • Select Share with companies by sending an email with a download link to share with someone outside the Hive.
  5. Click Next.
  6. On the Select Products to Share step, use the filter builder to choose which products to include. Click Add Filter, set your conditions, and click Apply Filter. The list below updates in real time showing matching products.
  7. Use the Include My Products and Include Supplier Products checkboxes to control the filter scope.
  8. Click Next.

If you chose to share with a connected company

On the Map the Fields step, the wizard uses your existing template-to-template mappings to handle the field translation automatically — no manual mapping is required here.

If you have not mapped your templates to the receiving company's templates in Hive Control Center > Product Templates, this step will return an error and no products will be shared. Set up the mappings first, then return to this wizard.

  1. Click Next.
  2. On the Share the Products step, review the auto-generated Name for this Flow and edit it if needed.
  3. Confirm Store Data As is set to Product.
  4. Select the company to send to from the Shared With dropdown.
  5. If you want to enter a personalised message in the email, enter it in the Message field.
  6. Click Done. The wizard creates and immediately executes the Flow. The receiving company gets an in-app and email notification to run their Flow and accept the products.

If you chose to share via email

On the Map the Fields step, the Source Product Template is automatically selected based on your filtered products. Review it and change it if needed.

  1. Review the mapping grid. Source shows your template fields, How to Map defaults to Pass Through Value, and Target is the column name in the exported file.
  2. Click Suggest Mappings to auto-populate matches, or click New Mapping to add rows manually. Adjust any Calculate Value transformations as needed.
  3. Click Next.
  4. On the Share the Products step, review the auto-generated Name for this Flow and edit it if needed.
  5. Enter one or more recipient email addresses in the To field.
  6. Enter a message in the Message field — this appears in the body of the email sent to recipients.
  7. Toggle Include Documents and Image on if you want product documents and images bundled into the download.
  8. Click Done. The wizard creates the Flow, executes it, and sends the email immediately.

What happens next

The share runs immediately when you click Done. Check Flows > History to see the execution result and confirm how many records were processed.

The wizard saves the Flow to Flows > My Flows under the name you set. You can re-run it from the list at any time — useful for sending regular product updates to the same trading partner.
