Uploading Images and Documents with Hive Sync

In short

Hive Sync is a Windows app that lets you bulk upload images and documents to your products by dropping files into folders on your computer. The app watches those folders and uploads files to the matching product in the Hive automatically.

Before you start

  • Hive Sync runs on Windows only.
  • The products you want to upload files to must already exist in the Hive. Hive Sync uploads files to existing products, it does not create new ones.

Downloading and installing Hive Sync

Download the app from https://support.hivepix.com/portal/en/kb/articles/hive-sync. Run the installer and open the app once it completes.

Logging in

When you open Hive Sync for the first time, the app opens your default browser to complete login. Sign in with your Hive credentials in the browser window. Once authenticated, the browser returns you to the app and your email address appears in the header.

Configuring settings

On first launch you are taken directly to the Settings screen. You can return to it at any time by clicking the cog icon in the top-right corner.

  1. In the Data Folder field, enter the path to the local folder you want Hive Sync to use as its root sync directory, for example, C:\HiveData. This is where the app will create and manage all product folders.
  2. Under Companies to Sync, check each organisation you want to sync. If your Hive account belongs to multiple organisations, only the companies you check here will have folders created and files synced.
  3. Click the back arrow to return to the home screen.

Only tick the companies you actively need to sync. Unchecked companies are ignored entirely, no folders are created and no files are uploaded for them.

How the folder structure works

Once configured, Hive Sync creates a folder structure inside your Data Folder automatically. You do not need to create any folders yourself.

The structure is:

For example:

Each product in the Hive gets its own folder, named with the product name. Open Windows File Explorer, navigate to your Data Folder, and you will see the full folder structure ready to use.

Do not rename or manually create product folders. The app generates these from your live product list in the Hive. Folders you create manually will not be recognised.

Uploading files

  1. Open Windows File Explorer and navigate to your Data Folder.
  2. Open the company folder for the organisation you want to upload to.
  3. Open the product folder for the specific product.
  4. Drag and drop your image or document files into the product folder.

That's it. Hive Sync detects the files immediately and begins uploading them to the product in the Hive. There is no button to press, the upload starts automatically as soon as files appear in the folder.

All file types are supported. You can upload images, documents, video files and any other file format.

Files must go into a product folder. Dropping files into a company folder directly will not trigger an upload.

Checking upload status

The home screen shows a live feed of all upload activity. Each entry shows the filename, the date and time of the upload, and a status on the right:

  • Completed, the file was uploaded successfully to the product.
  • Failed, the upload was unsuccessful. The app retries automatically up to three times. If all three attempts fail, the entry is removed from the feed. To try again, drop the file into the product folder again.

Logging out

Click the person icon in the top-right corner to open the Profile screen, then click Logout.
